Solutions · Digital chain of custody

Every evidence item, with a verifiable history.

A digital chain of custody immutably records every transfer, handling and access to an evidence item, with who, when and why. VerumLims builds it into the forensic laboratory's work, from the unique-code label to the time-stamped signed report.

The challenge

In many laboratories the chain of custody still lives on paper forms that are filled in by hand, get lost or are entered after the fact. A single gap in the record is enough for the defense to challenge the evidence in court.

And reconstructing who had an evidence item, when and in what condition, takes hours the laboratory does not have.

How we solve it

  1. Intake with a unique code

Every evidence item is registered with a unique-code label, photo and requester data.

  2. Signed transfers

Every handover between people or areas is signed by the corresponding operator.

  3. Immutable record

Every transfer, handling and access is stored in a record that cannot be edited or deleted.

  4. Location and derivatives

Physical location tracking, aliquots and derivatives, linked to the original evidence item.

  5. Signed report

The expert report is signed electronically with a time stamp.

  6. Archive and disposal

Document custody, sample disposal per protocol and legal retention.

Frequently asked questions

What is a digital chain of custody?

It is the electronic record of everything that happens to an evidence item from the moment it reaches the laboratory, including who had it, when, where it was and what was done to it, stored so it cannot be altered without leaving a trace.

What makes it immutable?

Events are never edited or deleted. A correction is recorded as a new event, signed by whoever makes it, so the complete history always remains visible.

Does it replace paper chain-of-custody forms?

That depends on each institution's regulations and guidelines. VerumLims generates the digital record and the reports that support it, and can coexist with the forms the institution must keep.

What happens to the chain when the item moves to genetics?

With Identicore ADN, the genetic profile flows in one click, with no re-entry and the case already linked, so traceability continues in the identification system.

Does it work without internet?

Yes. VerumLims is installed on the institution's infrastructure and the custody record never leaves it.
